PAYE (Pay As You Earn) is how employers collect income tax and National Insurance from employees' pay and account for it to HMRC. It sounds simple; in practice it means real-time filings on or before every payday, constantly changing tax codes, statutory payments, student loans, pension deductions and strict payment deadlines — with automatic penalties when any of it slips.

What Your PAYE Obligations Actually Are

As an employer you must deduct income tax and employee National Insurance from pay, together with student loan repayments and pension contributions where they apply. On top of that you pay employer National Insurance at 15% on each employee's earnings above the £5,000 secondary threshold (2026/27). Most eligible employers can reduce their employer NIC bill by up to £10,500 a year through the Employment Allowance — a claim that is easy to miss and easy to get wrong; we make it for every qualifying client.

You must also keep payroll records, issue payslips, operate the right tax code for every employee and report everything to HMRC in real time.

Real Time Information: Filed On or Before Every Payday

Every time you pay staff, a Full Payment Submission (FPS) must reach HMRC on or before payday, showing what each employee was paid and what was deducted. An Employer Payment Summary (EPS) is filed where you reclaim statutory payments, claim the Employment Allowance or report a month with no payments. Late or missing filings trigger automatic monthly penalties that scale with the size of your scheme.

Starters, Leavers and Tax Codes

Getting people on and off the payroll correctly prevents most PAYE errors. We process P45s and starter checklists so new employees begin on the right tax code, issue P45s to leavers promptly, and apply HMRC tax code notices as they arrive so under- and over-deductions never build up unnoticed. Every employee receives a P60 by 31 May after the end of each tax year.

Paying HMRC on Time

PAYE and NIC must reach HMRC by the 22nd of the following month when paying electronically (the 19th by post). Smaller employers whose average monthly liability is under £1,500 can pay quarterly instead — a cash-flow advantage many miss. PAYE Compliance Reviews and HMRC Investigations

HMRC runs regular employer compliance checks covering PAYE, employment status, expenses and benefits. We carry out PAYE health checks that find and fix issues before HMRC does — and if you are selected for a review, we manage the process end to end: preparing records, handling correspondence and negotiating settlements where needed.

Benefits in Kind and What Is Changing

If you provide benefits such as company cars or private medical insurance, these are currently reported on annual P11D forms, with Class 1A National Insurance due in July. From April 2027 HMRC will begin phasing in mandatory payrolling of benefits, starting with company cars, vans, fuel and employer-provided medical benefits — a significant change to how PAYE operates day to day. We prepare P11Ds today and will move clients onto payrolled benefits well ahead of the deadline.

When do I need to register as an employer for PAYE?
You normally need to register with HMRC before your first payday, and registration can take time, so build it into your hiring plans. Broadly, PAYE must be operated if any employee earns above the National Insurance lower earnings limit, receives expenses or benefits, has another job or receives a pension. Even where no deductions are due, payroll records must still be kept. We confirm your position and handle registration as part of setup.
What is an RTI submission and when is it due?
Real Time Information is the system through which employers report pay and deductions to HMRC. A Full Payment Submission must be filed on or before each payday, and an Employer Payment Summary by the 19th of the following month where you are reclaiming statutory payments, claiming the Employment Allowance or reporting a nil month. We file both as an integral part of every pay run.
How much is employer National Insurance in 2026/27?
Employer Class 1 National Insurance is 15% on each employee's earnings above the secondary threshold of £5,000 a year. Most eligible employers can offset up to £10,500 of their employer NIC bill through the Employment Allowance, which no longer carries the previous eligibility cap on larger employers' claims. We claim it automatically for every qualifying client.
What happens if a PAYE submission or payment is late?
HMRC charges automatic penalties for late RTI filings, at monthly rates that scale with the number of employees in your scheme, plus interest and potential penalties on late payment of the tax itself. Persistent lateness also raises your risk profile for a compliance review. Our process files on or before every payday precisely so these penalties never arise.

Do company directors pay National Insurance differently?
Yes. Directors' National Insurance is calculated on an annual cumulative basis rather than pay period by pay period, which changes how deductions fall across the year. We operate the correct method automatically, including the alternative arrangement that smooths deductions evenly through the year with a final reconciliation at year end.
